Every business needs profits, therefore here are some tips about how small businesses could improve the way they work and how to save some extra money.
Mail
Only send very important documents by first class mail. Everything else should be send with second class mail, if it could not be send electronically. Find out if there are special discounted prices for standard mailings, where only small changes are made to the documents you send out.
If you send documents electronically use encrypted messages with PGP or GPG and don't forget to encrypt attachments as well.

When making calls, be clear about the intent of each call and keep calls concise. Prepare a short documentation of each call for you and your employees. Write down what was the aim of the call and what was the result of it.
Travel
Eliminate excessive or unnecessary travel. Plan necessary trips in advance to take advantage of lower fares.
Use resources such as teleconferencing, videoconferencing and teleseminars where possible to replace unnecessary travel to meetings.
Your Sales people should call your clients or prospective clients for an appointment, before they get on the Road. This will ensure, that your Sales people are more effective, as they don't spent time travelling to clients which might not have time for your Sales People or which are not in the Office.
Insurance
Analyse the level of your insurance cover. Is it appropriate for your needs? Are you paying more as you might need? Is it possible to reduce the level of cover and still be adequately insured?
If you have many different contracts, could they be summarized into one contract with different modules, which would than be less expensive?
Printing and Stationery
Use recycled material if quality is as good as you like to have it. Only have information printed on your Stationery which is not likely to change often. Print all other information, when you print documents. This is especially useful, when you know that you move your business to another location.
Don't have your Address and Phone-Number printed on you Stationery until you moved. Find suppliers for Office Utilities which offer lower minimum orders. If you are member of a Business Association ask them about special arrangements at suppliers for there members.
Office and other business related premises
Is the Office or Production Site to big or to exclusive? Would it make sense to move to a smaller or less exclusive location or office? Would that hurt business? If not, than how much more inexpensive must the new location be, to compensate for the extra costs of moving the business?
Or if you would not move anyway, could you sub-let some of the not used space? Did you have any equipment not used anymore, which could be sold? Did you have equipement which could be shared to reduce the cost of buying additional items?
Promotional Expense
Are you fully using the many online opportunities to promote your business? Many of these opportunities are inexpensive or even free. If this is not an area of your expertise it may be worth hiring a consultant. Social Media Sites might be worth a look, when you are mostly servicing your local area.
Enhance your Website with more detailed information about your Products and Services.
Add your Website to Local Directories on the Web. If you sell something, could you sell it through Online-Malls or Online-Services?
Analyse the returns you get from your promotions. Is it what you expected? If not, what did you think is wrong? Location of Advertisement, Time of Advertisement, wrong wording for the targeted audience, it could be many different things. You will find out, when you analyse what you do.
Reduce Waste
Don't throw away any waste material from production. Try to recycle the material as long as quality remains good. Try to reduce the percentage of waste before you start production. Plan and prepare the production process by thinking about how to use materials most effective and with a fast production process.
Electricity
Switch of Computers overnight. Switch off all devices at night or when they are not used regularly. Leaving devices in Stand-By Mode is an expensive behavior. Switch off Light, when it is not needed. Try to use more effective lights, which save energy.
If you are running aircondition systems, keep the temperature in your rooms about 5 Degrees Celsius below the outside temperature. This will save energy as well. Or you might only use ventilators, which consume less electric power.
Find ways how you could use electricity and other energy more economically. You will save money and the environment has to deal with less polution.
Involve Everyone in your Business
Ask your employees about ideas to reduce expenses or about
how to streamline your workflows. Brainstorm with your Staff and try things which have been found. The more often you do that, the more your employees will be motivated to assist you.
